Brief Description of Project: PROPOSAL: This project entails a complete shelf-reading and inventory, of
the music collection in Kimbrough Hall, in order to assess missing items for
replacement purposes, as well as future planning for collection development.
BACKGROUND: Under normal circumstances, inventorying a given run of
call numbers is routine for the staff in Holland circulation. However, it has
been many years since such a study of music scores was undertaken, if
ever. The 25-year-old agreements determining the music collection's location
have always assumed reliable shelf-reading to be the responsibility of the
music department's library staff. It is evident that this is not the case.
Contributing to the problem is the fact that the music library got access to
Griffin only a few years ago. Prior to that time, manual checkouts were in
use. The music library has no security gates, a circumstance that
encourages "undocumented borrowing."
In the spring of 2004, I requested that circ staff do a routine inventory of the
score collection in the Kemble Stout Music Listening Library in Kimbrough
Hall. Linda Snook sent experienced student employees to Kimbrough to do
the job. There, they discovered that the job would be more than routine, and
more complicated than the usual inventory assignment.
It became clear that a great many music items are not on the shelflist
printout, or inventory. This is not unusual in such a project, but the
magnitude of the situation makes it very labor intensive. Because the
collection is not on-site, the numerous problem items cannot be easily
verified, when necessary, by supervising staff. Also, because of two
locations for The Libraries' music materials, many items belonging in Holland
have been found in music, and vice versa. Another discovery: Oversize
materials in music are not designated "oversize," and some "music
reference" items have no WSU Libraries' authorization for inclusion in that
collection, and therefore have no cataloging at all. These are some examples
that illustrate the complexities that the Holland Circulation Staff encountered
in their attempt to inventory the score collection.
CONCLUSION:
The music department operates its library facility very informally, and over
the years old agreements regarding the custody of WSU Libraries' property
have been overlooked. For the forseeable future, that facility will continue to
house a WSU Libraries' collection. For present, that collection is in urgent
need of cleanup and control.

Brief Description of Project: Do a mass building pick-up in New
Library one week and another in Holland
Library the next week. Bring any books
back to the circulation unit for
pre-sorting and loading onto carts. We
would then like another call for
assistance with the shelving of the
materials. It would enable us to clear
the stacks for the Spring Semester.

Why unit needs help: Holland Circulation's requested budget hours were
underfunded by about a thousand hours and due to
the new gates, we are providing staffing at the
front desk 100%. This has impacted our ability to
get pick-ups done and we are currently about
50,000 below last year in pick-ups. We need to
get the floors cleaned up for the Spring Semester.

database was converted to Griffin, the
III turnkey database, the
Cougalog “bound/with barcode” field had
no equivalent field in Griffin. The
item records which contained the field
were left without a barcode in the
item; the call numbers continued to
display as individual analyzed call
numbers. Lacking the “bound/with
barcode” field and display constant, it
was not evident that the various titles
were bound together in a single
volume. The individual bound/with
titles which lack barcodes will need to
have the incomplete items deleted, and
a single item with an adjusted call
number will be linked to all the titles
in the volume. Before this can be
done, it must be verified that all the
relevant titles for each volume are
present in Griffin. This verification
step does not require authorization to
edit or delete item records, but will
entail performing title searches in
Griffin and if necessary, checking a
printout, the central shelf list, the
serial record kardex, or the books in
the stacks.

the more people involved the sooner the project
will be completed.
